Quality Manager – Warehouse Operations

The Challenge

This individual will ensure that the Warehouse and any off-site warehouses meet the applicable Quality Standards while maximizing the efficiency and effectiveness of the flow of goods through the warehouses.  Safeguard the License to Operate regarding the applicable Quality Standards of the warehouse.  Keep the Quality Standards permanently up to date required for the warehouse and the legal entity.  Provide up-to-date Quality Assurance knowledge for the Warehouse, company’s logistics service providers and contractors and other company locations in North America.

The Position

Quality Assurance

  • Develop the long-term and annual Quality Plan for the Warehouse in compliance with international and national law and regulations and company policy, plans and requirements
  • Implement these approve plans after obtaining approval from the Warehouse Operations Manager & Regional Director SCM NA: to meet the quality requirements and customer service levels
  • Set Quality Targets and KPI’s to monitor and ensure adequate reporting of the service of the warehouse service providers

Control and Change Management

  • Monitors the quality of processes, products and service and ensure the License to Operate
  • Ensure that “Quality” is an integral part of the business processes and is integrated in the day-to-day activities
  • Coordinate Change Management on local level and cooperate with Global Quality Management and Change Control Commission for Global changes to ensure that the local processes and systems are aligned
  • Report Quality shortcomings, failures and breaches to management
  • Develop and implements quality system plans to drive and improve the sites Quality culture

Coordination and Communication

  • Promote the right management style in an active way, influence and guide the attitude and tools whether the local legal entity and the warehouse sites meet the applicable Quality Standards and to satisfy customers and authorities
  • Contribute as a Management Team Member to coaching and development of staff, in line with company requirements and directives and local procedures, either directly or indirectly via the Manager of Operations NA
  • Manage Quality issues between all involved players such as Local Operational Departments, Customer and external auditors, Global Quality and Regulatory Affairs and Logistic Service Providers
  • Coordinate activities relevant to warehouse incoming materials and finish goods with the counterparts in warehouse Quality team

Auditing and Quality Control

  • Facilitate the internal and external audits and inspections to satisfy customers and authorities
  • Facilitate and inspect goods, then determine disposition on damage good returned from customers, logistic service providers, outside storage facilities and Local Operational providers
  • Ensure that warehouse facilities and operations meet GMP/GDP standards for Food, Feed, Dietary Supplements, and API’s
  • Implement corrective actions to address any audit findings
  • Support the root cause investigation of any customer or internal complaint where it concerns possible Quality issues related to warehousing or transportation from the in-scope warehouses; where required the 3rd parties who manage the warehousing and transportation are to be involved
  • Define with the Warehouse Operations Manager corrective and preventive actions

Continuous Improvement

  • Fosters a culture of continuous improvement in Warehouse Operations and supports the journey
  • Provide “best practices” to continuously improve existing processes and procedures and control tools thereupon


  • Act as a back-up to the SHE Manager

  • Minimum Bachelor’s Degree in a relevant scientific discipline is required. Master’s preferred
  • Broad knowledge of quality management and food safety management systems
  • Excellent communication skills and ability to build strong relationships with internal and/or external parties
  • Problem solving skills in a complex and fast-moving environment
  • Knowledge of and experience with necessary quality assurance standards (i.e. Good Manufacturing Practices (cGMP), API’s, Food & Feed)
  • Certified Auditor in Quality Systems
  • Knowledge of and experience with Supply Chain Management, Warehousing, Distribution and Logistics
  • Advanced computing skills in Microsoft programs (Word, Excel, PowerPoint, Outlook) and SAP
  • 5-7 years of experience in a global environment with a complex matrix organization, preferable in the Life Sciences industry
  • 5-7 years of experience in quality assurance with a broad spectrum of techniques and leadership
  • Experience with outsourcing of complex and very high standard distribution and warehousing activities
  • Experience in project management with worldwide integrated processes and system collaborating with cross functional teams
  • 3-5 years of experience dealing with auditors of Certifying Bodies and Customers
  • Proven analytical, leadership, organization and inter-personal skills. Ability / desire to thrive in a highly visible role
